Built-In Meetings
The built-in meeting is a video room inside the player page. There's no link to send out and nothing to install — anybody on the session page is already in it.
Not every group has it; it comes with some plans. An external meeting link can sit alongside it as a backup.
Turning it on
It's one of the three options in the location section on the session form, and it can be used with the others.
Three options come with it:
- Record Automatically When the Session Starts, so nobody has to remember to start a recording.
- Pause Recording While a Track Plays — while a track plays the room is just listening, which isn't worth keeping.
- Post Recap Automatically — the recording becomes the session's recap on its own, once it has finished uploading.
The room opens with you
The meeting opens when a host reaches the player page (including in pre-session mode), and closes about a minute after the last host leaves it. There's nothing to start and nothing to end, so stay on the page while people are still talking at the end of the session.
Who the room shows
Everybody is a tile of the same size until there's a reason for somebody to be larger.
Loading a track puts its submitter on the stage, letting them introduce their song. Pressing play puts the room back to tiles.
Take Stage, on the meeting bar, puts you there yourself — for the welcome, the wrap-up, a long answer. Leave Stage takes you off again, and loading the next track hands the stage to that track's submitter.
Eject, beside Load Track, clears the loaded track for everybody: the room goes back to tiles and a paused recording picks up again. It's how you move on from a track you stopped part way through.
Recording
If the session isn't set to record automatically, Record is on the meeting bar, with an indicator beside it showing what the room is doing. Stopping asks you to press it twice: starting again makes a second, separate recording rather than continuing the first.
The track itself is never in the recording, with or without the pause option.
When the session has ended, Manage Recap offers to use the recording as the session replay. Taking the offer saves it, and every track's timestamp is worked out from when it was played — you don't type any of them. Check them against the video and change any that are out of sync.
With Post Recap Automatically on, none of that waits for you: the recap goes up as soon as the recording is ready and the organizers are told it's live, with the same link for checking it. Hosting a Session covers the recap.
Running the meeting well
Load the track before you call on the person. Loading starts everybody's download and gives the submitter the stage.
Watch the Loaded count in the attendees panel before you press play — it's the number of listeners who have the track ready.
Every microphone goes off when a track starts, including yours. Nothing turns them back on: use the microphone button on the meeting bar once the track is over.
Leave a beat at each end of a track, so people have time to stop talking and time to unmute.
You can't load over a track that's playing. Up to the moment you press play you can load a different one, which is how you fix loading the wrong track. After that, let it finish or press Eject.
